Airxchange, Inc. a growing Rockland-based manufacturer of HVAC components seeks a Sales Order Administrator.

Job Summary
The Order Administrator manages receipt, acknowledgement and entry of Customer Purchase Order / Sales Order Status. In this role, the Order Administrator is responsible for the accuracy of the Purchase Orders entered into the ERP System.

He / or She requires strong organizational skills and accuracy to coordinate all aspects of sales administration. They must also be good communicators, working with other departments insuring that orders are fulfilled to the schedule and providing exceptional service to our customers.

He / She require good clerical, data entry, and computer skills. Excel expertise is required.

Duties and Responsibilities

  • Large System Order Entry and Administration management, attention to detail is required
  • Timely processing, review, and entering of customer s orders into ERP System
  • Confirm Purchase Orders back to Customer
  • Communicate status of Purchase Orders with Customer
  • Liaison between Sales, Operations, and Procurement
  • Provide shipping and delivery information as requested by Customer
  • Review orders for accuracy relating to purchase amounts, correct model and order numbers
  • International coordination of shipping, bills of lading and brokerage companies
  • Update and monitor on a daily basis multiple customer portals.
  • Review and Maintain Open Order Backlog Report
  • Process Sales Report (Daily/Monthly)
  • Process request for quotations from Customer
  • Maintain customer contracts for reference


  • High School diploma, some college preferred.
  • Strong negotiating and problem solving skills
  • Exceptional listening, communication (oral and written) and time management skills
  • Professional communication and computer skills.
  • Strong computer and database skills, including ERP and / or CRM, Macola and Salesforce a plus
  • Proficient computer skills in Excel, Outlook, Word, Adobe
  • 5+ year s administrative experience, manufacturing a plus.
  • Ability to be detail-oriented and organized.
  • Must be a quick learner and a strong team player.

Job Type:
Required education: High School, with some college preferred.

Required experience:
Administrative Assistant: 3-5 years
